1. Services Covered
These Terms & Conditions apply to the following services:
Bookkeeping
Payroll
Self-Assessment Tax Returns
VAT Returns
Year-End Accounts
Limited Company Accounts
2. Client Engagement
Clients will receive a formal engagement letter outlining the scope of services, fees, and terms. All services are quoted on a bespoke basis. Proposals and quotes will be issued prior to the commencement of any work.
3. Pricing & Payment Terms
Our fees vary depending on the specific services required. Unless otherwise agreed, invoices are due within 14 days of issue.
Late Payment Policy:
A late fee of £25 may be applied to overdue invoices.
Statutory interest will be charged at 8% above the Bank of England base rate, calculated daily.
If payment is not received within 90 days, we may pause all work, withhold deliverables, and refer the account to a collections agency.
4. Cancellation & Termination
Clients may cancel our services at any time, provided there are no outstanding fees due. Either party may terminate the engagement for any reason with written notice. Work will cease and final invoicing will be issued for all services delivered to date.
5. Client Responsibilities
To help us deliver the best service, clients agree to:
1. Provide Accurate and Timely Information
Submit complete, accurate records and respond to requests within 5–10 working days
Notify us promptly of any changes to business activities or contact details
2. Retain Responsibility for Records
Maintain original business records (receipts, bank statements, invoices) for at least 6 years
3. Meet Deadlines
Provide all required information at least 10 working days before statutory deadlines
4. Review and Approve Work
Review and e-sign draft tax returns or accounts before submission
5. Pay Promptly
Settle invoices in line with the terms above; late payment may delay further work
6. Use Secure Communication
Share sensitive data through secure channels (e.g. OneDrive, FreeAgent). We are not responsible for unencrypted emails sent at your request.
7. Act in Good Faith
Provide honest and accurate information. We reserve the right to terminate services if misleading or fraudulent information is supplied.
FreeAgent Users: If clients are responsible for their own entries in FreeAgent or other cloud software, they remain responsible for the accuracy of that data unless we are explicitly engaged to review or maintain the records.
6. Anti-Money Laundering (AML) and Identity Checks
As an ICB Licensed Practice, we are required to follow UK Money Laundering Regulations. We will request proof of identity and address for all clients and may conduct electronic verification checks.
If we cannot obtain satisfactory ID verification, we will be unable to act on your behalf.
Suspicious activity must be reported to the National Crime Agency (NCA) and, by law, we may not inform you of such disclosures.
7. Privacy & Data Handling
We are registered with the Information Commissioner’s Office (ICO). All personal and financial data is handled in line with UK GDPR requirements.
Client data is stored securely using encrypted systems such as Microsoft 365, OneDrive, and FreeAgent (hosted in the EU under GDPR-compliant standards).
8. Limitations of Liability

9. Complaints Policy
We aim to deliver a professional, friendly and responsive service. If you’re unhappy, we want to resolve it informally wherever possible.
